ScheduleSync is a NilearOS automation tool that synchronizes your ConnectWise Dispatch Portal or Autotask Dispatch Calendar with your staff's time entries and adds accurate Travel To and Travel From entries for on-site appointments.
ScheduleSync keeps tickets on the Dispatch Portal/Calendar accurate by synchronizing each ticket's scheduled resources with the resource's time entries, which eliminates the need to manually reconcile ticket time entries on the Dispatch Portal/Calendar in order to keep it accurate. A key feature of ScheduleSync is its ability to add Travel To and Travel From entries on the Dispatch PortalCalendar. This makes it very clear to everyone when someone will be unavailable because as they are on the road to or from a client. The system will also calculate distances automatically for traveling from one client to the next as well as whether the tech is predicted to travel from the office or from home.
A tech can often work on a ticket through the morning; however, this does not necessarily mean the tech worked non-stop on the ticket. Rather than having the Dispatch Portal/Calendar represent work on a ticket spanning the full set scheduled time block, ScheduleSync will break up the schedule to show the actual time the tech worked on the ticket.

How It Works
Typically, the Dispatch Portal or Dispatch Calendar is a representation of what your team expects to happen. Throughout the day some tasks are completed earlier than predicted while other are completed later than predicted. The more often this occurs, the less accurate your Dispatch Portal/ Calendar becomes. In short, your current Dispatch Portal or Dispatch Calendar is used to plan for the future, but is far less effective in representing the present and even less effective in representing the past.
How does ScheduleSync help?
ScheduleSync keeps tickets on the Dispatch Portal or Dispatch Calendar accurate by synchronizing each ticket's scheduled resources with the resource's time entries. If someone works on a ticket without a scheduled resource, ScheduleSync will automatically add one to the Dispatch Portal/Calendar. For example, when a ticket previously scheduled for 2:00 - 4:00 PM is instead worked on from 10:16 - 11:31 AM, ScheduleSync will automatically update your Dispatch Portal by moving the 2:00 - 4:00 PM scheduled entry to 10:16 - 11:31 AM. Now your Dispatch Portal/Calendar represents what is expected to happen, what is happening and what has happened.
ScheduleSync will also add Travel information
A key feature of ScheduleSync is its ability to add Travel To and Travel From entries on the Dispatch Portal or Dispatch Calendar. This makes it very clear to everyone when someone will be unavailable because he/she is on the road to or from a client. By mousing over a travel entry, you can see the details of the planned travel, including mileage and how long the travel will take. The system will also calculate distances automatically for traveling from one client to the next as well as whether the tech is predicted to travel from the office or from home.
Avoid the Dispatch Portal Reality Distortion Field
A tech can often work on a ticket through the morning; however, this does not necessary mean the tech worked non-stop on the ticket. In these situations, a tech may enter his time as 8am - 12pm with a 1.54 hour deduction. Rather than having the Dispatch Portal represent work on a ticket spanning from 8am straight through to 12pm, ScheduleSync will break up the schedule with a start time of 8am for 1.23 hours and again at 10:46am for another 1.23 hours. The difference is that the "Before" implies the tech performed four hours of work this morning while the "After" shows exactly how much the tech actually worked.

ScheduleSync is part of the NilearOS (Operations Suite) for ConnectWise and Autotask and is included as part of a NilearOS subscription.
There is a one-time activation fee of $99 for new NilearOS customers. The subscription is month-to-month and can be canceled at any time, there are no long-term contracts.

ScheduleSync can be activated or deactivated and has been developed to work in any ConnectWise environment. However a list of suggestions to improve the overall performance of ScheduleSync is provided below.
Suggestions for ConnectWise Users:
- Before working on a ticket, create yourself a schedule record for the ticket if one does not already exist.
- When entering time, close out your schedule entry by clicking on the "Done with this scheduled event" checkbox contained in the Time Entry pop-up window.
- If you need to schedule additional work on a ticket, create a new schedule record rather than reusing the old schedule record.
- If you have "Travel" as a billable Work Type, we recommend you rename it to "Travel To" and create an additional "Travel From" Work Type and set as nonbillable. Work Types can be edited under ConnectWise -> Setup -> Setup Tables -> Work Type.
- For Scheduling, we recommend you have a "Travel To" and a "Travel From" Schedule Type created under ConnectWise -> Setup -> Setup Tables -> Schedule Type. If you already have "Travel" as a Schedule Type, we recommend renaming it to "Travel To" and creating a "Travel From" Schedule Type.
